The Corporate Payroll Administrator manages the weekly full cycle payroll for both exempt and non-exempt employees across multiple states, including data entry, calculations, reporting, and adherence to compliance with federal, state, and local regulations. This role reports to our Accounting Department and is located in our Headquarter Office in Nashville, TN.
ESSENTIAL JOB FUNCTIONS
- Prepare, process, and verify weekly full cycle payroll for 300+ exempt and non-exempt employees, including reviewing and verifying the accuracy of approved timecards, payroll deductions, and other special exceptions related to the payroll
- Manage administration of electronic time keeping systems including maintaining work schedules, monitoring daily attendance to include validation of timecards, overtime, job changes, and adherence to FLSA
- Monitor submission of approved timecards and ensure valid data transfer from time tracking system to payroll
- Sets up report garnishments pursuant to legal documents
- Establish and maintain accurate tax jurisdictions within payroll systems
- Ensure compliance with federal, state, and local regulations while maintaining current with payroll laws and regulations
- Review employee change requests for proper authorization and approval, ensure that employee changes are entered correctly, and are processed on a timely basis
- Administer payroll audits to verify the accuracy of payroll elements including base pay, bonuses, commissions, payroll taxes, and various deductions
- Ensure accurate calculation and reporting of payroll taxes, including federal, state, and local taxes
- Prepare requested documents and files for quarterly, bi-annual, and annual external financial and workers compensation audits
- Regularly review and reconcile payroll tax filings and deposits, coordinating with Finance and payroll vendor to resolve discrepancies and ensure compliance with company policy and federal, state, and local regulations
- Ensure accurate and timely retirement plan funding and reporting, assist Human Resources with annual 401(k) audits, and ensure compliance with ERISA and IRS regulations
- Enter data into databases, spreadsheets, and other systems to accurately reconcile and record payroll related data
- Address and resolve payroll-related inquiries from employees and perform in-depth investigations and analysis to determine the root cause of each problem to identify gaps and go forward solutions
- Collaborate closely with Finance, Human Resources, and other departments to ensure seamless payroll processing and data accuracy while providing excellent service to our employees and internal clients
- Perform monthly, quarterly, fiscal year end and calendar year end payroll procedures
- Establish and maintain positive working relationships with employees and management
- Handle special projects and perform other job-related duties as assigned
QUALIFICATIONS
- 5+ years of relevant payroll operations experience processing payroll for 300+ employees
- Knowledge of various payroll systems like ADP and QuickBooks and time keeping systems like ADP Time & Attendance and FieldEase
- Advanced working knowledge of US payroll processing to include federal, state, and local laws and regulations, wage and hour, and tax administration
- Advanced Microsoft Office suite skills, including intermediate Excel with the ability to run reports and perform detailed analysis
- Ability to solve problems, exercise sound judgment in planning, scheduling, and completing assignments in an independent manner based on policies and procedures
- Construction industry payroll experience, preferred
- Advanced knowledge of gross to net payroll calculations and processes
- Ability to maintain strict confidentiality
- As a condition of employment, employer will conduct a background check and drug screen prior to hire
- Valid Driver’s License with a clean driving record
- Ability to understand, speak, and write English
EDUCATION AND CERTIFICATIONS
- Bachelor’s degree in accounting, finance, or related field, preferred
- 5+ years of proven experience in payroll administration with direct responsibility for processing
- Certified Payroll Professional (CPP) certification, preferred
