Job Description: We are seeking a dedicated and detail-oriented Client Services Coordinator/Receptionist to join our team. In this role, you will be a point of contact for clients visiting our office in person, ensuring they receive a warm welcome and exceptional service. You will manage various administrative tasks to support our legal team and contribute to the smooth operation of our office.

Key Responsibilities:

Serve as a point of contact for in-person visits to the office.
Handle client intake, including welcoming new clients, providing contracts, receiving initial payments, and giving welcome kits.
Manage document intake by scanning and saving documents, and notifying virtual team members of new documents.
Take fingerprints for FBI fingerprint checks and OBIM FOIA requests.
Gather and print PDF packets for mailing, as directed by paralegals and virtual team members.
File notices in the appropriate files.
Receive, scan, and notify the correspondence specialist of mail and documents received via USPS.
Schedule appointments for attorneys and manage the office calendar.
Handle initial inquiries and direct clients to the appropriate resources or staff members.

Qualifications:

Some college coursework completed, or an associate’s or bachelor’s degree in a related field is preferred.
Bilingual in Spanish and English is required.
Experience working with or connection to immigrants from Central America or Mexico is strongly preferred.
Previous experience in a client-facing role, preferably in a legal or professional services environment.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Ability to handle sensitive information with confidentiality and discretion.
Proficiency with office equipment and software, including scanners and Microsoft Office Suite.
Ability to multitask and manage time effectively in a fast-paced environment.
