MARLIN is seeking one entry-level Administrative Assistant for our Fort Lauderdale office to provide administrative support to our Office Manager to ensure efficient operation of the office.

Duties:

Manage the reception area to ensure effective telephone communications both internally and externally
Supervise the maintenance of office equipment and office supplies, including copiers
Manage conference room reservations and organize all aspects for meetings
Update various spreadsheets and other general administrative duties as needed
Greet and welcome visitors to the Offices
Process and deliver internal and external mail daily
General administrative support for typing, data entry, invoicing, copying, faxing and maintaining electronic and physical files for various office personnel
Develop and maintain a filing system
Assist with photocopying and distribution of information, as required
Assist with special projects as requested
Assist with onboarding new staff
Schedule company vehicle maintenance and reservations
Monitor and order office supplies as needed
Process sub-agreements for new contracts, update client files
Other tasks necessary to complete the essential functions of the position

Education and Requirements:

High School Diploma
1+ years of administrative experience
Fluent in English and Spanish
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Knowledge of office management systems and procedures

Technology:

· Electronic mail software

· Project management software

· Microsoft Office

The duties for this position are fulfilled in an office environment. Daily communication with peers and manager is required for project-related and administrative tasks. Salary range is $15-$17 an hour.
