NAVFAC Southwest is looking for highly motivated administrative/management assistant to join their team. As a management assistant with NAVFAC Southwest, you will assist the Planning, Design and Construction (PDC) Directorate with a broad range of duties from administrative and clerical work to taskers that require research and collaboration. Your role is critical in the day-to-day functions and operations of PDC.
Responsibilities Include:
Provides a variety of administrative functions such as researching and preparing narrative and statistical material in various formats such as Microsoft Word, Excel, PowerPoint, etc.
- Responsible for clerical duties including, but not limited to spreadsheet development and manipulation for charts and graphs, PowerPoint presentations, records management, directives management, reports compilation, forms management, data gathering, portal posting, supply procurement, invoice certification, mail and distribution control, etc.
- Performs secretarial functions such as setting up in-person and virtual meetings, reserving conference rooms, responding to customers via email, phone and in person as well as government correspondence.
- Implements Standard Operating Procedures (SOP) to maintain smooth operations within the office and makes recommendations to the supervisor concerning development and revision of procedures. Updates and posts SOPs on SharePoint, portal or Microsoft Teams Channels.
- Makes preparations for meetings or site visits to be attended by PDC personnel. Preparations include assembling necessary records, briefing materials, reports and documents, notifying attendees, scheduling facilities, equipment, transportation, or other arrangements as required. Serves as a recorder for meetings, selection boards or bid openings.
- Holder of government purchase card for obtaining general office supplies. Facilitates the use of office equipment and coordinates repairs as needed.
Preferred Experience:
- Must have experience working with internal and external customers.
- Knowledge of Microsoft systems (Word, Excel, PowerPoint).
- Good written and oral communication.
The ideal candidate will have experience working in an office setting and performing administrative functions such as scheduling meetings, answering phone calls, writing desk procedures, etc. Must have strong oral and communication skills. Experience in customer service is highly desired.

• Must hold U.S. Citizenship
• Aged 18 or older at time of hire
