Position Overview:
The Project Control Manager is pivotal in managing and overseeing all document control processes related to project execution. This role requires a meticulous individual with expertise in document management, record-keeping, and compliance to ensure accurate and efficient handling of project documentation. The successful candidate will ensure that all project documents are organized, accessible, and adhere to company standards and regulatory requirements.
Key Responsibilities:
- Document Management: Develop, implement, and maintain a comprehensive document control system for all project-related documents, including contracts, drawings, specifications, change orders, and correspondence.
- Document Control Procedures: Establish and enforce document control procedures to ensure proper handling, storage, retrieval, and distribution of project documents. Ensure that documents are updated and managed throughout the project lifecycle.
- Records Keeping: Maintain accurate records of all project documentation. Track and manage revisions, approvals, and distribution of documents to ensure that the latest versions are always accessible to relevant stakeholders.
- Compliance and Quality Assurance: Ensure that all documents comply with industry standards, company policies, and contractual requirements. Implement quality control measures to maintain the integrity and accuracy of all documentation.
- Coordination and Communication: Serve as the primary point of contact for document-related inquiries. Coordinate with project teams, subcontractors, and clients to facilitate the efficient exchange of information and documentation.
- Document Review and Approval: Manage the document review and approval process, including routing documents for review, tracking status, and ensuring timely approvals. Address any issues or discrepancies that arise during the process.
- Reporting: Generate and distribute regular reports on document status, including compliance audits and document control metrics. Provide insights and recommendations for improving document management processes.
- Training and Support: Provide training and support to project team members on document control procedures and tools. Ensure that all team members are knowledgeable about document management practices and standards.
- System Maintenance: Oversee the maintenance and optimization of document control systems and tools. Implement updates and improvements to enhance document management efficiency and effectiveness.
