JOB DESCRIPTION:
We are looking for someone with at least five years of experience as an Event and Customer Care Coordinator who intends to stay in this position for several years.
This is a full-time position (40 hours/week) with benefits. The annual compensation for the role is $60,000-$63,000, depending on experience. It is a hybrid role requiring both work in-person in our San Francisco office 1-2 days per week, and remote work from home.
EVENT COORDINATION
Supporting the smooth delivery of our classes is at the heart of what enables us to bring this important work to the world. The person in this role will proactively and conscientiously coordinate the details necessary for classes to run smoothly. This involves:
- Coordinating onsite logistics of our internal courses courses, external trade shows, and other courses and events
- Setting up the classroom layout and printing materials in preparation for classes, including A/V equipment
- Coordinating with hospitality personnel for food and beverage services, set up and take-down of classes, event logistics, and internal/external communication functions throughout the event life cycle.
- For external events, sourcing and negotiating hotel contracts and food and beverage, housing accommodations and transportation for faculty, and shipping materials.
CUSTOMER CARE
Providing excellent customer care is our top priority. This requires a dedication to going above and beyond for a customer to make them feel valued, including:
- Providing a seamless and friendly customer experience for students and faculty
- Promptly responding to phone and email questions and requests
- Maintaining in-depth knowledge of our offerings and provide informative support and recommendations to resolve customers’ questions and issues
- Collaborating with our operations team to drive constant improvement and to support smooth processes
- Supporting staff and faculty needs in the office space, including on-call support during weekend courses
OFFICE MAINTENANCE
Maintaining the office space goes hand-in-hand with smooth operations and production. The person in this role will create a warm, supportive and functional space for staff, students and faculty. This requires a meticulous eye for detail as well as an understanding of the needs of the whole system and their part in it, including:
- Purchasing, producing, and maintaining inventory levels of workbook materials, marketing materials, curriculum books, office supplies and exhibition supplies.
- Producing and shipping course materials, workbooks and other shipments
- Overseeing the security, cleanliness, and organization in the office and storage spaces
- Coordinating with building management, other tenants and vendors
REQUIRED SKILLS AND QUALITIES
This is an important role within our small company, and it requires:
- A love for details: working with them consistently, accurately, with timeliness and in coordination with those impacted by those details
- Excellent written and verbal communication skills
- The ability and desire to be both self-guided and to work collaboratively
- Strong organizational skills
- Experience working with digital tools such as Google Workspace (Drive, Gmail, Docs, Sheets), MS Office, Slack, and Zoom
- The ability, interest and willingness to learn
