THE TEAM OF 30+ CONSISTS OF DESIGNERS, PRODUCERS, COORDINATORS AND A FINANCE AND OPERATIONS TEAM.
JOB TITLE: STUDIO ASSISTANT (24-30 HOURS PER WEEK) – LA OFFICE
REPORTING INTO: GLOBAL PEOPLE AND OPERATIONS LEAD
WE ARE SEEKING A DYNAMIC AND ORGANIZED STUDIO ASSISTANT TO JOIN OUR LOS ANGELES OFFICE. THE STUDIO ASSISTANT WILL PLAY A CRUCIAL ROLE IN SUPPORTING OUR TEAM AND ENSURING THE SMOOTH OPERATION OF OUR STUDIO SPACE. THE IDEAL CANDIDATE IS PASSIONATE ABOUT LUXURY EVENTS, HIGHLY ORGANIZED, AND THRIVES IN A FAST-PACED ENVIRONMENT.
KEY RESPONSIBILITIES
STUDIO MAINTENANCE: MANAGE THE GENERAL RUNNING OF THE STUDIO, ENSURING SPACES ARE ALWAYS CLEAN, TIDY, AND ORGANIZED.
POINT OF CONTACT: SERVE AS THE PRIMARY POINT OF CONTACT FOR ALL STUDIO-RELATED TASKS, INCLUDING LIAISING WITH THE LANDLORD AND UTILITY COMPANIES
MEETING COORDINATION: COORDINATE THE COMPANY'S WEEKLY MEETINGS, INCLUDING MANAGING DIARIES AND SCHEDULES.
EXECUTIVE ASSISANT TO SENIOR MANAGEMENT: PROVIDE SUPPORT WHERE NEEDED
RESPONSIBLE FOR MAINTAINING CLIENT RELATIONSHIPS: SENDING OCCASIONAL GIFTS ON KEY DATES EG BIRHTDAYS, BIRTHS, ETC.
OFFICE PURCHASES AND BUDGET MANAGEMENT: RESPONSIBLE FOR OFFICE PURCHASES AND ENSURING BUDGETS ARE MAINTAINED, WITH MONTHLY REPORTING TO OPERATIONS.
ACCOUNTS MANAGEMENT: MANAGE ACCOUNTS SUCH AS ZOOM, TRANSPORT COMPANIES, AND TRADE ACCOUNTS.
TRAVEL ARRANGEMENTS: RESPONSIBLE FOR BOOKING TRAVEL ARRANGEMENTS FOR THE TEAM, WITH APPROVAL REQUIRED BY FINANCE AND OPERATIONS PRIOR TO BOOKING.
STORAGE MANAGEMENT: ARRANGE PICK-UPS AND DELIVERIES, UPDATE STORAGE INVENTORY, AND MANAGE AFTER-EVENT ITEMS.
COMPANY-WIDE ACTIVITIES: RESPONSIBLE FOR COMPANY-WIDE ACTIVITIES SUCH AS BIRTHDAYS, CHRISTMAS, WORKSHOPS AND CLIENT GIFTS.
OTHER DUTIES: ASSIST WITH TASKS RELATED TO OTHER DEPARTMENTS AS REQUIRED.

- EXPERIENCE COORDINATING OPERATIONAL PROJECTS AND SUPPORTING MULTIPLE TEAM MEMBERS
- ORGANIZING AND PREPARING FACILITIES FOR MEETINGS AND EVENTS
- EXPERIENCE IN MAINTAINING OFFICE OR STUDIO SPACE AND TAKING PRIDE IN THIS OWNERSHIP
- BASIC UNDERSTANDING OF BUDGETING AND FINANCIAL PROCESSES
- BASIC IT TROUBLESHOOTING SKILLS (SUPPORTED BY 24-HOUR IT COMPANY)
- FAMILIARITY WITH MAC AND PC ENVIRONMENT
