Position Summary:
We are seeking an experienced Travel Coordinator (TC) to join our team and support our growing needs. In this role, you will be responsible for arranging and managing travel logistics for our company personnel, focusing on patient equipment deliveries and installations. You will work closely with Veterans, caregivers, and VA facilities, ensuring efficient travel that prioritizes the needs of our patients.
Key Responsibilities:
- Coordinate travel arrangements for inbound and outbound patient service areas.
- Research and compare travel options to secure the most cost-effective and time-efficient routes.
- Book travel in line with company budget and guidelines.
- Communicate travel details to patients and caregivers, ensuring they are well-prepared for their appointments.
- Maintain accurate travel records, including expense reports and documentation for reimbursement.
- Assess specialized transportation needs due to medical conditions and ensure appropriate accommodations.
- Collaborate with VA vendors, manage vendor lists, and maintain agreements for future travel.
- Create sales orders for billing and ensure equipment availability.
- Follow up on transitioning patients to ensure timely service within the 30-day window.
- Educate patients and caregivers about equipment and hospital requirements.
- Handle inbound/outbound calls related to patient care, VA appointments, and equipment inquiries.
- Support other departments with tasks such as prescription processing and file audits.
Qualifications and Skills:
- Proficiency with Brightree, Apacheta, and Microsoft Office (Outlook, Excel, Word, Teams).
- Advanced data entry skills, including 10-Key and a typing speed of 35 WPM.
- Intermediate-level MS Excel skills (e.g., resizing columns, basic formulas).
- Experience in medical office settings, VA services, DME, or hospital environments.
- Strong communication and conflict resolution skills.
- Experience with travel coordination and vendor management.
- High school diploma or higher education.
- Fluency in English required; Spanish is a plus.
