We are looking for a skilled and dynamic Associate - Chief of Staff to support our senior leadership team and Client Delivery function while managing critical business operations. Key Responsibilities:
Executive Support:
- Serve as the primary point of contact for the executive team, managing day-to-day operations, including scheduling, communications, and meeting coordination.
- Anticipate leadership's needs and provide critical support, offering insights and solutions before problems arise.
- Oversee and manage confidential projects, contracts, and communications with the utmost discretion and professionalism.
- Handle preparation, editing, and formatting of presentations, client documents, and consulting deliverables for internal and external meetings.
Client Delivery and Business Development Support:
- Support the Client Delivery team by creating and formatting presentations, analyses, and correspondence using Microsoft Office (Word, Excel, and advanced PowerPoint).
- Provide general support for business development activities, including the development of marketing materials and proposals.
- Oversee the creation of client deliverables, ensuring accuracy, consistency, and alignment with client needs and company standards.
- Serve as a liaison between senior leadership, Client Delivery, and other internal/external stakeholders, ensuring smooth communication and collaboration.
- Assist in tracking client engagements, project timelines, and resource allocation to optimize project delivery.
HR Responsibilities:
- Handle all HR responsibilities in collaboration with PEO, including recruitment, onboarding, employee engagement, and HR-related communications.
- Support leadership with building and representing a strong Audacia culture aligned with consulting firm values and goals.
Marketing Responsibilities:
- Manage all marketing activities, including the development of marketing strategies and overseeing, guiding, and coordinating 3rd party vendors and partners.
- Support brand positioning, and client outreach strategies, and maintain consistent communications with prospective and existing clients.
- Coordinate the development of case studies, marketing collateral, and promotional content for external communications.
Business Operations Support:
- Provide general business operations support, including assisting with process improvement, workflow management, and operational efficiency initiatives.
- Help streamline day-to-day operations by identifying gaps and recommending solutions to enhance overall productivity and effectiveness.
- Support budget tracking, vendor management, procurement activities, and business reporting.
- Assist with compliance tracking, ensuring all regulatory and business obligations are met.
Operations and Logistics:
- Coordinate internal meetings, team events, and travel logistics, managing priorities efficiently and ensuring smooth operations.
- Maintain a deep understanding of company objectives, culture, and challenges.
Required Skills and Experience:
- Proven experience as a Chief of Staff, Executive Assistant, Office Manager, or Operations Manager in a fast-paced professional services environment, preferably in management consulting.
- Experience working in management consulting or a professional services environment.
- Advanced proficiency in Microsoft Office, especially Word, Excel, and PowerPoint, with experience creating high-quality presentations and reports.
- Experience in HR, Marketing, and business operations functions, including recruitment, process improvement, and managing marketing campaigns.
- Exceptional organizational and multitasking abilities with attention to detail.
- Strong verbal and written communication skills, with the ability to convey complex information clearly.
- High level of emotional intelligence, with a knack for understanding interpersonal dynamics and handling sensitive situations diplomatically.
- Proven ability to maintain confidentiality and exercise discretion in all matters.
- A proactive approach to problem-solving with strong decision-making skills.
- Ability to work independently and take initiative, with a strong sense of responsibility and accountability.
- A bachelor's degree in business administration, communications, marketing, or a related field is preferred.
