Job Title: Senior Executive Assistant
Location: Remote with occasional travel

We are a dynamic company, committed to growth through strategic acquisitions and operational excellence. As we expand our portfolio, we seek a proactive Senior Executive Assistant to support our CEO and the leadership team.
Responsibilities include but not limited to:
- Manage complex calendars for the CEO and other members of the leadership team, efficiently scheduling meetings, appointments, travel arrangements, and calls. Proactively identify and resolve scheduling conflicts.
- Plan and organize internal and external meetings, including offsites and companywide gatherings. Responsibilities include coordinating logistics, securing equipment and supplies, organizing catering, and serving as the main point of contact for visitor arrangements.
- Arrange detailed domestic and international travel itineraries for leadership, ensuring all logistics—including flights, accommodations, transportation, and visa requirements—are handled seamlessly.
- Prepare and manage expense reports and reimbursement requests for leaders in a timely and accurate manner.
- Track entity reporting and KPI consolidation for leadership.
- Collaborate with the executive team to plan and organize leadership meetings, ensuring all necessary materials are prepared and distributed.
- Assist in the preparation of materials for leadership meetings, including creating agendas, drafting presentations, and documenting meeting minutes.
- Build and maintain positive relationships with internal stakeholders, external partners, and clients.
- Anticipate the needs of leadership to enhance their productivity and effectiveness. Handle ad-hoc requests and perform additional duties as assigned.
- Maintain strict confidentiality and exercise discretion in managing sensitive information, including executive correspondence, personnel matters, and strategic initiatives.
Engages in other related activities as assigned, demonstrating flexibility and a willingness to support various projects.
Qualifications:
- Bachelor’s degree in business administration or a related field (highly preferred).
- 10+ years of experience as an Executive Assistant, with at least 5 years supporting C-suite executives.
- Based in the Buffalo-Niagara or Western NY area, (highly preferred).
- Proven ability to manage multiple priorities and adapt to changing environments.
- Exceptional organizational skills and attention to detail.
- Strong interpersonal and communication skills, both written and verbal.
- Proficient in Microsoft Office Suite and other relevant software tools.
- Ability to work independently and as part of a team, demonstrating initiative and problem-solving skills.
- Discretion and integrity in handling confidential information.
