Job Title: Administrative Support/Dispatcher

Job Summary:
We are seeking a highly organized and detail-oriented individual for an administrative support opportunity with a commercial design client located in Groveport. This person will play a critical role in coordinating the scheduling and dispatching of technicians for the installation and servicing of commercial projects. This role requires excellent communication and multitasking skills, as well as the ability to thrive in a fast-paced environment.
Responsibilities:Scheduling and Dispatching:
- Efficiently schedule and dispatch technicians for commercial installation, repairs, and maintenance projects.
- Prioritize and allocate resources based on urgency, customer needs, and technician availability.
- Monitor job status and technician locations to ensure efficient service delivery.
Communication:
- Serve as the main point of contact between customers and technicians.
- Confirm appointments with customers, provide updates on technician arrival times, and address inquiries.
Job Coordination:
- Coordinate with the sales team to ensure accurate job requirements and customer expectations.
- Collaborate with the warehouse team to ensure necessary equipment and materials are available.
Documentation and Reporting:
- Maintain accurate records of job details, technician schedules, and customer communications.
- Generate and update reports on job progress, technician performance, and department efficiency.
Problem Resolution:
- Address and resolve scheduling conflicts, technician delays, and other job-related issues.
- Proactively identify and mitigate potential challenges in the dispatching process.
Requirements and Qualifications:- 3+ years' experience in a dispatching or scheduling role, preferably in a field service environment.
- High school diploma or equivalent; additional education or certification in business administration or a related field is a plus.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent verbal and written communication skills.
- Proficiency in dispatching software and other relevant tools.
- Ability to remain calm and focused in high-pressure situations.
